Albert SIS Role Descriptions & Training

This page provides details on the descriptions and training available for specific roles within the student information system. For certain roles specified below, training must be completed before access can be granted. Training requirements are based on the specific role selections that are made on the account request form. Additionally, new Albert SIS users must also complete the FERPA tutorial & quiz.

Please note that Albert SIS & Brio Account Requests can be submitted by authorized requesters only.

Admissions
Admissions Summary - Page 1 Description
This role is appropriate for individuals who need to view a summary of the applicant and his/her status in the admissions process.

The role assigns view access to the Applicant Summary - 1 page. This page provides Application Data (basic Program/Plan information), Biographical Information, Contact Information, Checklist Information (application requirements), and Service Indicator Information (flags). In addition, Recruitment Categories (student contacts with NYU Admissions), housing interest and notification plan (Regular or Early Decision) information also display on this page.

Admissions Summary - Pages 1 & 2 Description
In addition to all the access from "Admissions Summary - Page 1", this role includes high school and college statistics, test scores, evaluations (if used), and Student Group information (which are categories, or "groups" of students, e.g. scholar groups).

Account Viewer Description
Student account information - displays account balances, transaction amounts and amounts unpaid to date

Financial Aid
Financial Aid - Awarding Description
This role is appropriate only for those individuals in schools who are authorized to post scholarship and / or stipend aid for their students. This role is restricted, and requires training and approval.

Financial Aid - View Description
This role is appropriate for those individuals who need to view financial aid information, including anticipated student aid, comments left by Office of Financial Aid staff, loan status, and general Financial Aid status information. This role required training and approval.

NYU Connect
NYU Connect: Academic Athletics Leadership Description
Users in Academic Athletics leadership positions who can see all students, but who don't display to students and do not have advisees assigned to them. Access to see all students and flags, and run reports.

NYU Connect: Academic Leadership Description
Users in academic leadership (Dean, manager) positions who can see all students, but who don't display to students and do not have advisees assigned to them. Access to see all students and flags, retention scores, and run reports.

NYU Connect: Athletics Advisor Description
Athletics advisor, assigned to all athletes. Just see assigned advisees. Display to students and in student folder. See flags for their students.

NYU Connect: Calendar Manager Description
Users that will assist advisors, administrators and/or faculty by managing their appointment calendar in NYU Connect.

NYU Connect: Delegated Reporting User Description
User that can run high level and detailed reports on behalf of a school/unit.

NYU Connect: Department Administrator Description
Users in school department positions who can see all students in their department, but don't display to students and do not have advisees assigned to them. Access to see all information (including flags, kudos, notes, etc.) for all students within their school. Role displays in student folder and success network. Role will also receive emails for flags and kudos.

NYU Connect: Financial Aid Counselor Description
Financial Aid counselor. Can see all students and financial-related flags.

NYU Connect: General Advisor Description
Role that gives advisors (whether or not they have assigned advisees in Albert) access to see all student information, but no access to view flags. Does not display to students.

NYU Connect: Global Inclusion Description
Users in Global Inclusion offices (CMEP, LGBTQ+ Center) who have access to all students and their flags. Does not display to students or in the student folder, and does not receive raise emails for flags/kudos except for items meant for their office.

NYU Connect: Global Programs Leadership Description
Users in Global Programs Leadership positions who can see all students studying away and their flags.

NYU Connect: Global Site Staff Description
Site Coordinator/the person the student should contact while they are away from campus and at a NYU study away location. Access to see all students at their location (based on study agreement) in a given term. Displays to students.

Users in Global Spiritual Life office who can see all students, but who don't display to students and do not have students assigned to them. Access to see all students and their flags.

Users in Polytechnic Tutoring Center who can see all students, but who don't display to students and do not have students assigned to them. Access to see all students and their flags.

NYU Connect: Residential Life Central Central Staff Description
Assistant Directors in ResLife who have access to see all students in residence, including access to see all flags, kudos, and notes for them. They can raise flags and create kudos, but will not be assigned flags or receive raise emails for flags/kudos.

NYU Connect: Residential Life Hall Staff Description
Users in Residential Halls as Hall Managers, etc who can see all students in their Hall for a given term, do display to students and do not have students assigned to them. Access to see all students in housing and their flags.

NYU Connect: Residential Life Leadership Description
Users in Residential Life leadership (central office, not Hall-based) positions who can see all students in Housing, but who do not display to students and do not have students assigned to them. Access to see all students in housing and their flags.

University Registrar
Advisor Center Access Description
Allows access to student data including Bio/Demo data, Class Schedules, Grades, the Degree Audit Report (Academic Requirements), Transcripts, Transfer Credit, Test Credit, Service Indicators (Holds for XAC-Advisor Clearance Required), and Academic Program History.

Internal Memo Management Application Access Description
Access will be granted to the Internal Memo Management Application which is used by school administrators to send memos to the Degree Audit area of the University Registrar's office. Memo types include Course Substitution,Transfer Credit, Major/Minor Completion, Completion of Requirement / Waiver and Miscellaneous. This application is external to PeopleSoft/Albert.

Advisor Assignments Access Description
Allows access to assign advisees.

Advisor Clearance Access Description
This option requires selection of either the Enrollment View or Enrollment Update Role. Allows access to release the XAC-Advisor Clearance Required holds

Career/Program/Plan - Update Access Description
Gives update access to Career, Program, Plan, and Maintain Student Term Enrollment Limits (Equivalency).

Gives view access to Career, Program, Plan, and Maintain Student Term Enrollment Limits (Equivalency).

Class Withdrawal Description
Gives access to class withdrawal functionality.
Training Requirement: CS202: Class Withdrawal (iLearn registration for in-person training)
Course Catalog - View Description
Gives view access to the course catalog.

Course Evaluation Description
This role is only for central, school administrators making the final determination as to whether or not a course is evaluated in Albert. Access is limited. Contact reg.course.eval-group@nyu.edu with questions.
Training Requirement: In-person training.
Enrollment - Update Access Description
Gives update access to enrollment and view access to Term Activation, Term History, Student Groups, Appointments, Student Services Center, Enrollment Summary, Enrollment Request Search (enrollment audit), Enrollment Requirements (pre-reqs and restrictions), Bio-Demo data, Transcripts, Degree Audit, Class Rosters, Class Permissions, and Instructor Schedules. With appropriate row-level security users will be able to remove Advisors holds and place and release other holds.
Note: Degree Audit allows users to view the Degree Audit Report, including advisor notations and exceptions entered for individual students. Enables users to do a 'What-If' scenario to audit students under a different program. The Degree Audit is available to all undergraduate schools, except for: SCPS Tisch Center, STEIN.

Enrollment - View Description

Gives update access to the Schedule of Classes and view access to Class Rosters, Class Permissions, Enrollment Requirements (pre-reqs and restrictions), Combined Sections and Instructor Schedules.

Schedule of Classes - View Description

UDW+ Dashboard - Student Academic Management Dashboard Description
UDW+ Student Academic Management Dashboard is an interactive online dashboard. It includes graphical analysis and various reports on Student data. Data is provided both at the summary level and at the detailed student level. It also provides a version of the 'Interactive Reporting (formerly known as Brio) operational dashboards'. The interactive dashboard has quick processing speed, a nightly refresh schedule and all data can be exported.

UDW+ Ad Hoc - Student Records Description
This option allows users to build their own Student Records reports and queries in the UDW+ ad hoc environment. (Prior to requesting ad hoc access, users should interact with the Student Academic Management Dashboard to determine if it meets their needs.)
The subject areas will continue to evolve as more data is brought into UDW+. Examples of subject areas available: Degrees (conferred), Class Enrollment, Term Registration, Meeting Pattern and Test Scores.
