Adding Content to the DAM

Name Your Digital Assets

  • All digital assets should be named prior to being uploaded to the Digital Asset Manager (DAM)
  • Use only letters, numbers, or hyphens (-)
  • Do not use spaces in the filename
  • Do not use any punctuation marks or special characters in the filename

File Size Limits in the DAM

  • Images
    • Files should not exceed 2 MB
    • File formats supported: JPG, GIF, PNG
  • Videos

Upload Content to the DAM

  1. Navigate to the Digital Asset Manager (DAM) by clicking the digital assets button (camera icon) from either the CMS Welcome Screen or Site Admin view.
  2. The DAM is laid out similarly to the Site Admin, with a Navigation Pane on the left-hand side where you can browse through the folders containing your unit's digital assets and a Details Pane on the right-hand side where additional details about those assets will appear.
  3. Locate the appropriate subfolder to upload your digital asset. Each unit's folder is organized at the top level by file type:
    1. Audio
    2. Documents
    3. Images
    4. Misc
    5. Videos
  4. In the right-hand DAM Details Pane, click the New... button from the menu bar. The Upload Assets window will open. Alternatively, you can select the down arrow next to the word "New..." and then select New File.
  5. Click Browse... to locate the file you want to upload from your computer.
  6. Click Open once you have located and selected the appropriate file to upload.
  7. Click Upload to add the file to the DAM.
  8. If you do not see your newly uploaded digital asset listed, click the refresh button from the menu bar to refresh the list of digital assets.
  9. Digital assets will not be viewable on the live site until they are activated. To activate a file:
    1. Click on an asset so it is highlighted in green. Click "Activate" from the menu bar.
    2. Right-click on the asset you want to activate and select "Activate" from the menu.
  10. When you return to Edit Mode, you will now see a thumbnail of the newly uploaded asset in the left-hand side DAM Asset Tray.

Deactivate Content in the DAM

  1. Locate the digital asset you want to deactivate in the DAM.
  2. To deactivate the asset:
    1. Click on the asset so it is highlighted in green. Click "Deactivate" from the menu bar; or
    2. Right-click on the asset you want to deactivate and select "Deactivate" from the menu.

Delete Content in the DAM

If digital assets are no longer necessary and you do not need it in the future, you can delete them from the CMS. Deleting assets cannot be undone.

  1. Locate the digital asset you want to delete in the DAM. Make sure the asset has been deactivated.
  2. To delete the asset:
    1. Click on the asset so that it's highlighted in green. Click "Delete" from the menu bar; or
    2. Right-click on the asset you want to delete and select "Delete" from the menu.
  3. A window will appear and ask you to verify that you really want to delete the selected asset. Click "Yes" to delete.

Link to Assets in the DAM

In addition to being used for standalone images or within promo components, assets in the DAM can also be linked to directly as a downloadable file.

  1. Provide descriptive text to use as the hyperlinked text, for example: Editorial Style Guide (PDF: 358 KB).
    1. In a Rich Text component: Highlight the text you want to hyperlink and click the link button (globe with chain link) located in the formatting toolbar of the Rich Text editor.
    2. In a promo component: Navigate to the appropriate tab to insert a hyperlink and continue to step 2.
  2. Either drag and drop the digital asset directly from the DAM Asset Tray to the Link to field or click the magnifying glass and navigate through the Digital Assets folder to locate the appropriate file.
  3. Click OK to confirm the link.
