Long Term Group Housing

ELIGIBILITY / RATES / DATES

General Eligibility:

Long term group housing is available for groups and organizations with between 10 and 60 program participants seeking housing for a minimum of three weeks and up to eleven or twelve weeks.

Participants of long-term groups are not required to be enrolled in summer classes at NYU, however, priority for reservations is given to NYU programs.

Non-NYU organizations whose programs are similar in nature with any NYU academic program are not eligible to reserve housing for their program. All group requests are subject to review and organizations may be asked to submit a detailed statement regarding the nature of their program.

All program participants must be at least 17 years of age on the date that their reservation begins.

NYU Summer Housing does not provide mixed gender housing or family housing.

Enrolled and Associate Status:

Summer residents are classified as either having Enrolled status or Associate status. This classification determines rate eligibility.

Enrolled status:
An NYU student or summer student registered for a minimum of 1 summer credit. (Participants in noncredit NYU summer internships, non-credit School of Continuing Education or other certificate programs are not eligible for Enrolled housing rates.)

Associate status:
An NYU student or visiting participant not enrolled for any credits in NYU summer courses. Associates include:

  • Participants enrolled in non-credit NYU classes and/or non-NYU internships
  • Participants enrolled in non-credit School of Continuing & Professional Studies programs
  • Students completing incomplete coursework from prior terms.

The Associate rate includes participation in The New York Experience, a noncredit course.

Rates:

All rates are per resident per week. The rates vary by type of accommodation, the number of occupants per bedroom, and the enrollment status of the resident.

Traditional residence hall (no kitchen), non-air-conditioned, shared bedroom within shared suite.
  • Enrolled rate: $80 per week. Non-enrolled rate: $160 per week.
  • Residents living in this type of housing will be required to purchase a meal plan.
Traditional residence hall (no kitchen), non-air-conditioned, single bedroom within shared suite.
  • Enrolled rate: $140 per week. Non-enrolled rate: $220 per week.
  • Residents living in this type of housing will be required to purchase a meal plan.
Traditional residence hall (no kitchen), air-conditioned, shared bedroom within shared suite.
  • Enrolled rate: $160 per week. Non-enrolled rate: $250 per week.
  • Residents living in this type of housing will be required to purchase a meal plan.
Apartment-style residence hall, air-conditioned, shared bedroom within shared suite.
  • Enrolled rate: $185 per week. Non-enrolled rate $275 per week.
Apartment-style residence hall, air-conditioned, single bedroom within shared suite.
  • Enrolled rate: $260 per week. Non-enrolled rate $350 per week.

Meal plans cost either $100 and $110 per person per week depending on the plan selected.

Dates:

The 2009 Summer Housing program begins on Sunday, May 17, 2009 and ends on Saturday, August 8, 2009. Reservations are made by calendar week, Sunday to Saturday.

Only NYU summer programs may request to check-in on Sunday, May 17, 2009. Non-NYU affiliated summer programs may request to check-in on Sunday, May 24, 2009 or any subsequent Sunday through July 19, 2009.

RESIDENCE HALL ACCOMMODATIONS

The NYU residence halls are located throughout lower Manhattan, in neighborhoods such as Greenwich Village, Union Square, SoHo and Gramercy Park. In addition, NYU Housing recently acquired a new facility in the historic Brooklyn Heights neighborhood. This is the University's first residence hall outside of Manhattan. All residence halls are conveniently located near public transportation offering access to all parts of Manhattan.

Residence hall accommodations are bedrooms within multi-bedroom suites with shared bathrooms and, in apartment style halls, kitchens. Most bedrooms are shared with one or two roommates, with between four and eight occupants per suite. There are limited singles bedrooms available.

All residence halls are coed by floor; although individual bedrooms and suites are single sex.

NYU residence halls are smoke-free and smoking is not permitted in any area within the residence hall, including private living areas. For more information, please click here.

Residents are responsible for cleaning their bedrooms and all shared areas within their suite.

If any participants of a group program require a special accommodation based on a medical condition or disability, please discuss the nature of the special accommodation requested with an NYU Summer Housing representative as soon as possible, but no later than eight weeks prior to the participant's expected arrival on campus.

Two types of residence halls are available:

Traditional Halls– suites/bedrooms in traditional halls do not have kitchen and all residents are required to maintain a meal plan during their summer residency. Some traditional halls are air-conditioned. All traditional halls are located near the main NYU campus. Residents of non-air-conditioned facilities may not bring air-coniditioners, however, fans are permitted.

Apartment Style Halls– suites/bedrooms in apartment style halls do have kitchen and residents are not required to maintain a meal plan. All apartment style halls are air-conditioned.

Furnishings

Each bedroom is furnished with a twin size bed (some bunked), mattress, desk and dresser for each resident. Residents are responsible for providing their own linen.

It is recommended that residents bring additional lighting to supplement in-room lighting.

SERVICES

Athletic Facilities:

NYU has two athletic facilities. Both of these facilities are available to all summer residents. Each facility includes weight-training equipment, fitness equipment, and a swimming pool.

Cable TV:

Cable television is provided in most NYU residence halls by NYU Campus Cable. Residents must provide their own television and cable to connect their television to the cable outlet.

Dining:

Campus dining facilities are open Monday through Friday. Residents assigned to a traditional residence hall are required to maintain a meal plan.

Internet Service:

High speed internet connectivity (wired) is provided in most NYU residence halls by NYU ResNet. Wireless internet connectivity is not provided.

Laundry:

Laundry facilities are available in each residence hall.

Reception Desks:

Located in the lobby of each residence hall, the reception desk is the primary contact point for information, check-in/out, mail/package distribution, emergencies and visitor assistance. Reception desks are generally open from 9:00 am - 8:00 pm, seven days a week.

Security:

The NYU Department of Public Safety is responsible for the safety and security of NYU residence halls. Public Safety personnel are assigned to each residence hall at all times. Residents must obtain an NYU photo ID card (NYUCard) upon their arrival and must produce this identification to the Public Safety Officer upon entering the residence hall. All guests must provide photo identification and must be signed in to the hall by their host.

Staffing:

Each residence hall is staffed by both full-time professionals and specially trained student employees. Each residence hall's administrative operation is overseen by a full-time Residence Hall Operations Manager who works closely with staff from the Departments of Residential Education and Facilities & Construction Management.

Telephone Service:

Most residence hall rooms are wired for local telephone service. Residents must provide their own telephone. Information about long-distance service and other telephone services will be provided to residents when they check-in.

RESERVATION & PAYMENT INFORMATION

Reservations

NYU sponsored groups or programs are given priority in the reservation process.

Reservation requests can be made for between 10 and 60 participants.

Summer Housing 2009 Long Term Group Reservation Request

The deadline to submit a reservation request is Monday, December 8, 2008.

If a reservation is offered, the group contact will receive an agreement indicating the group's account code, residence hall placement, and the number of reservations being offered in January 2009. This agreement must be signed and returned in order to indicate acceptance of the terms and conditions. The group coordinator will also receive summer housing applications designed exclusively for distribution to the group's participants.

Group coordination, including distribution and collection of applications, materials and initial payments, is the responsibility of the sponsoring department or organization.

NYU Summer Housing must receive all completed participant applications with required payment at least three weeks prior to the start date of group's reservation.

Please note that we cannot guarantee that all participants from a group or company will be housed together. Some participants may be housed together. Some participants may be housed with residents not affiliated with the group or company.

Please note that individual requests for early arrivals and extended stays that differ from the program's reservation dates are contingent upon space availability.

Payments

Groups may choose one of two payment options. Groups may choose to be billed directly for their group's housing charges or individual participants can pay NYU Housing directly.

The sponsoring organization is responsible for any outstanding participant charges upon completion of the license period.

Group Payment

If the sponsoring organization is paying for its participants, a minimum three (3) week payment per application must be included when the completed individual applications are submitted to NYU Summer Housing.

A group account will be established and all participant charges will be the responsibility of the sponsoring organization.

NYU groups must provide a departmental account number authorizing a transfer of funds.

A final invoice will be sent to the sponsoring organization approximately two weeks after the group's departure.

Individual Payment

If individual participants are paying for themselves, a minimum three week payment per application must be included when the completed individual applications are submitted to Summer Housing.

The group organizer is responsible for securing the initial payments with the applications and forwarding them to NYU Summer Housing.

Any balance due on the participant's account must be paid by the end of the first week of their reservation. Upon arrival, participants will receive a bill for the balance due on the account. Payment must be made to NYU Summer Housing.

Participants that do not meet payment obligations will have their housing license terminated.

Credit Card Payment

New York University processes all credit card payments made using American Express, Discover, and Master Card through a third-party service, Bill Matrix. Bill Matrix assesses a 2.5% nonrefundable convenience fee on all payments made by credit card.

Visa is not accepted through Bill Matrix and cannot be used to make payment.

Cancellations & date adjustments
Cancellations

Through March 31, 2009, a group may reduce the size of their original reservation without penalty. The total number of spaces reserved as of April 1 will be considered the final number of spaces reserved.

Effective April 1, 2009, any reduction of the number of spaces reserved will result in a charge of $500 per reservation. Reduction of a reservation includes any cancellation of a reservation and any reservation that is not utilized as a result of a participant's failure to check-in.

Please note that this policy is different from the cancellation policy for individuals not in group housing.

Date changes for individual participants

Once the reservation is confirmed, participants who choose to adjust the dates of their reservation may do so as follows:

All requests to change the dates of a reservation must be made in writing; by mail, fax, or web form and received at least seven (7) days prior to the beginning of the week(s) added or removed from the existing reservation.

Billing is based on a Sunday to Saturday schedule. Weeks cannot be prorated if the participant does not arrive on a Sunday or if the participants leaves prior to a Saturday. The minimum reservation length is three weeks.

On or before April 19, 2009
Any request to change the dates of an individual reservation on or before April 19, 2009 must be submitted to Summer Housing as indicated above. Requests to extend a reservation are based upon space availability. There is no processing fee for any date change received by Summer Housing on or before April 20, 2008.

After April 20, 2009
Any request to change the dates of a reservation after April 20, 2008 must be submitted to Summer Housing as indicated above. All date changes processed after April 20, 2008 will be assessed a $25 processing fee. In addition, all requests to extend a reservation are subject to availability and must include full payment for the additional weeks being added to the reservation.

Please note that no reservation can be extended beyond Saturday, August 8, 2009.
