NYU Classes: Pulling mid-term and final grades into Albert


NYU IT and the Office of the University Registrar have developed an optional feature to allow faculty to submit grades pulled directly from the NYU Classes Gradebook. This integration allows instructors to assign grades into the Albert Faculty Center Grade Roster by pulling the overall course grade for each student entered in the NYU Classes Gradebook. This function does not replace the process being used today (manual input), but rather provides an optional tool to streamline the faculty grading experience.

Best practice recommendations

We strongly recommend that faculty members select the correct grade type at the beginning of the semester based on their academic affiliation. Ensuring they do so within their NYU Classes course site will increase the number of midterm and final grades that can successfully be pulled and applied to the Albert grading roster. The grade types within a course site are from the University Registrar Office. To review the various grade types available, navigate to Gradebook > Settings > Grading Schema.


Currently, faculty may not assign a grade of "Incomplete" within NYU Classes, and have it automatically pulled into the Albert grading center. This grade type, if offered within your department/program, still needs to be added manually to the Albert grading roster.

Note: Should a faculty member experience any issues with the "grade pull" process, they should send an email to: grading@nyu.edu.  

Troubleshooting the NYU Classes Grade Pull

Below is a list of possible messages that faculty may receive in Albert when attempting a grade pull from NYU Classes.

When the user clicks "Pull Grades from LMS"

  1. A warning message will let them know that previous pulled grades will be overridden: "Warning - this will overwrite any previously imported grades. Do you want to continue?"
  2. Upon clicking continue, they will encounter one of the following:
    • If Albert cannot connect to NYU Classes the following message is displayed: "Cannot connect to NYU Classes"
    • If Albert can connect to NYU Classes, but receives an error response from the web service, the following message is displayed: "Not able to pull grades from NYU Classes"
    • If Albert can connect to NYU Classes and receives a success response from the web service, the following message is displayed: "Successfully connected to NYU Classes"

When the user clicks "Send to grade roster"

  1. If the grade roster status is not set to "Save and not submit" the user will receive the following message: "Error - Grades can only be sent to the Grade Roster when the Approval Status is Save and not Submit"
  2. A warning message will let them know that any existing grades on the roster will be overridden: "Warning - this will overwrite existing grades in the Grade Roster. Do you want to continue?"
  3. After the system completes the process of moving the imported grades to the grade roster:
    • If one or more grades were sent, the user will receive the following message: "A total of [xx] grades were sent to the Grade Roster"
    • If no grades could be sent the user will receive the following message: "No grades were eligible for update on the Grade Roster"


INTERNAL NOTES:


Limitations

This is not available to the following groups (due to SIS technical issues). These users will not see the button to "pull from LMS" in Albert:
