URLs in 856 Fields: Retention and Editing Procedures for
Monographic Records
Retention Policy
It is NYU policy to retain only the following two categories of
URLs in 856 fields in print (book) records.
Links to table of contents data on the LC web site, for
example:
856 41 3 Table of contents
u http://www.loc.gov/catdir/toc/mh023/99018951.html
The portion in bold will always look like this; the remainder
will
differ for each book.
Links to electronic versions of books published by the
National Academy Press (NAP), for example:
856 40 uhttp://books.nap.edu/books/ 0309068371/html/R1.html
The portion in bold will always look like this; the remainder
will
differ for each book.
If you have a record containing a URL that doesn’t fall into either
of the above categories, delete the entire 856 field. Many LC records
will include an 856 field containing a link to publisher information.
This field must be deleted. For example:
856 42 3 Publisher description

Editing Procedures
The following procedures do not pertain to records containing 856
links to National Academy Press titles. Refer to "Editing Member Copy
for Electronic Books (e.g., National Academy Press Titles)" for
instructions to follow for National Academy Press titles. Follow these
editing procedures for all other types of URLs in 856 fields.
Further Search, Half-FastCat Books, and Marcadia Records Loaded
into the Workfile
When evaluating member copy in AdvCat, retain or delete an 856
field based on the retention policy given above.
If you delete an 856 field, also check the bib record for related
006 and 530 fields. Delete the 006 and/or 530, if present. Values and
text in these fields may differ from record to record, but they will
look something like this:

Make any other necessary edits and save the record.
When a record containing LC table of contents in the 856 field is
saved in the main database, the system strips it from the bib record
and automatically creates a separate LOCATION record that contains the
URL and the following location information:

In AdvHoldings, edit and save the Pieces record as usual. No
additional editing of the location record containing the URL is
required
FastCat Books
Records loaded into the main database and flagged as FastCat will
require no additional editing at this time. LC records loaded into the
main database as part of Marcadia processing will also require no
additional editing.
