New Titles and Title Changes in
ADVANCE 6.8


Bobst Library Procedures for Adding and Receiving New Titles, including Title Changes



NEW SUBSCRIPTION
  • Search the online catalogue - brief display.
  • Find that OPAC indicates correct: Location - Bobst, Status - On Order.
  • Verify ISSN. "Retrieve" record
  • In the Acquisition module check order record and search for any Retrospective orders. Do NOT link the copy sets or parts or Type of Holdings (TOH) to Retrospective orders. Use only the SUBSCRIPTION order.
  • Retrospective orders can be received in the Acquisitions module. Holdings will be received either in boxes of check-in screens in Serials module or by adding retrospective holdings as described in that procedure.(Adding Retrospective Holdings)


If you attempt to checkin a Serial with on-order status, this note will appear:

    "There are no type of holding records defined
    Press <enter> to return to search screen."


  1. "Go to" "Serial copy display"


  2. In the Serial Copy Set Summary screen select item "# item" for which you want to create holding and serial copyset detail.


  3. Select "Type of Holding" which brings you to the Linked Type of Holdings


  4. Select "link". (In certain cases some Parts may seem linked or unlinked to the a copyset. These may indicate other locations or individual pieces added through earlier versions of Advance in the Cataloging Module.
    However, you are creating new holdings for the copyset.

  5. (There will not be a call number yet. The title has not gone to cataloging. This record was created by the ordering process.)

  6. Select "Add item" - which brings you to Type of Holding Detail.
  7. Fill in the description line by line (enter at each line, do not add extra spaces) Verify information, including Publication type.

    • Description: (Issues, Volumes, Supplements, Indexes, Microfilm, Microfiche, Computer optical disk, and Videocassettes)
    • Publication Type: (0 - ISS issues, 1 - IND indexes, 2 - SUP supplements)


    ****DO NOT FILE YET****

  8. Select "pattern". This will take you to the Publication Pattern Summary where you must create a new pattern or select and existing active pattern if it is correct for your location.


  9. In most cases you will add a new pattern:

  10. The issue in hand should be the issue you have begun the predictions with.

    1. Select - "Add Item" and fill in pub pattern.

    2. Then select "Second Screen" (Publication Pattern Second Screen)
      Update as needed making sure that:
      Compression is set to "2" (can compress or expand)
      Caption Evaluation is set to "3" (unverified;all levels may not be present)
      ENTER "Accept"

    3. Select "Predictions". (Publication Pattern Prediction)
      Update as needed.
      ENTER "Accept"

    4. "File"......You will be prompted:
      Is this publication pattern going to be used to predict issues?
      Enter "Y" for YES.


  11. You will now be at Publication Pattern Summary -- "Exit"


  12. You will now be returned to Type of Holdings Detail -- "File"


  13. This takes you to Linked Type of Holdings -- "File"


  14. Then you are back at the Serial Copy Set Detail -- "File"


  15. "Go to" "Checkin serials"and Select the box for this issue, retrieve it and change the status '4', EXPECTED to '17'-OUT TO CAT.

  16. Fill out a Bib Maintenance Form, making sure that your initials are on the form
    N:\Serials\Forms\BibMaintRequest.0202


  17. Give the form and the issue in hand to the senior serials receiver to open the holdings.

  18. The issue will be returned to you after a few days with a call number.

  19. When the issue is received, please check the item in and fill in relevant data in the serial copy set detail (call #, frequency, binding pattern, as well as information regarding any outstanding retro orders.)

  20. On a post it, please write, 'New Title' and state the retention policy.
    Place the post-it on the issue and place them in an interoffice envelope addressed to our contact in each department:
    BREF - Michael Hughes
    BREF6 - Celia
    BREF9 & Science - Ravi or Rick
    A-level - Stacy Williams
    These envelopes can be left on their respective trucks or bins.




TITLE CHANGES:

CAUTION! Title changes are being treated essentially as new titles. They will have a new payment record. We will no longer be using 'title split/change add' in RECU!!

  1. Search Advance to make sure that the title is not in the system

  2. Fill out a Bib Maintenance Form, making sure that your initials are on the form
    N:\Serials\Forms\BibMaintRequest.0202

  3. Place in the "Out to Cat. Bin"

  4. The issue will be returned to you after a few days with a new record.

  5. When the item is returned to you, Go to "Serial copy display" and in the SERIAL COPY SET SUMMARY select the location for the title you are working with..

  6. You will need to create a pub pattern for the new title:
    • In the SERIAL COPY SET DETAIL, select "Type of holdings"and enter.
    • in LINKED TYPE OF HOLDING select "Link" and enter.
    • In LINK TYPE OF HOLDING TO COPY SET select "Add item" and enter.
    • Now in the TYPE OF HOLDING DETAIL either 'issues' if it is not an annual or 'volumes' if it is annual and select the Publication Type for line 3.
    • Then select "Patterns"so that you can set up a publication pattern for the new title.
    • When this is complete, keep filing until you are back to the SERIAL COPY SET SUMMARY


  7. Check the item in and fill in relevant data in the serial copy set detail (call #, frequency, binding pattern, as well as information regarding any outstanding retro orders.)

  8. On a post it, please write, 'New Title' and state the retention policy.
