Status Codes For Newly Cataloged Materials


Two additional status codes, "Bobst Labeling" and "Pre-bindery" have been established in ADVANCE and are to be used by cataloging staff at the point of cataloging an item. The status appears on an item's Pieces Detail screen; the OPAC public display shows the status as "In processing." The new codes will aid staff in the cataloging department to better locate "In processing" items requested by our users.

415 -- "Bobst Labeling"

Used for all Bobst hardbound books and for all branch and consortium materials (both hard and soft covers).

  • BMAIN cataloged materials are put on a truck labeled with a "Change Status" sign outside the labeling corral; upon receipt, stacks staff wand barcodes of these books in order to change the status to "Available" (status code 0).


  • BREF, rush, and other priority cataloged materials are put on the "NON-BMAIN LABELING ONLY" shelves. The Senior Labeling Assistant (currently Robert McKanic) wands the barcodes of these books in order to change the status to "Available" before delivering the materials.


  • Consortium/branch cataloged materials are put on the appropriate shelf. The Senior Labeling Assistant (currently Robert McKanic) does not change the status of these items; upon receipt, staff in the branch and consortium libraries wand the barcodes of these books in order to change the status to "Available."


430 -- "Pre-bindery"

Used for all Bobst paperback books being sent to the Bindery.

  • All cataloged books needing to be bound are put on a Bindery truck that has been labeled with a "Change Status" sign. Upon receipt, Bindery staff wand the barcodes of these books in order to change the status to "At Bindery."


EXCEPTIONS

Master negative microfilm will continue to have the status code of 0.

AFC items (videos, DVDs, CDs) will continue to have the status code of 0.

Near East materials are FTP'ed from RLIN into Advance and, upon loading of items, the status code is automatically set to 0. The following procedure has been set up for these items:

  1. After books have been FTP'ed into Advance from RLIN and are ready for labeling, the Near East copy cataloger (currently Walter Oller) puts the books on a separate truck (he calls the Access Supervisor (currently Ted Lawton) for a truck if there are no spare trucks in the Cataloging Dept.). He keeps the truck outside of the labeling corral by the Near East shelves and tells the Labeling Supervisor (currently Janet Alicea or Frances Santiago) that the books are ready for labeling.


  2. The Labeling Supervisor puts a "Status OK" sign on the truck and assigns it to a single labeling student assistant.


  3. After the books are labeled, the Labeling Supervisor sends the truck upstairs for shelving. Because these books already have a status of "Available," access staff does not need to wand the barcodes to change from "Bobst-labeling."
