Record Selection for Further Searching Workflow: New Cataloging


OCLC/RLIN SEARCHING Select a record that bibliographically matches the item in hand in the 245, 250, 260 and 300 fields, making sure that its encoding level is acceptable, as defined below.

           9665 (most user tape-loaded records)

           9992 (Puvill, Casalini records)
OCLC Fixed Fields

After finding a record with an acceptable encoding level that bibliographically matches the item in hand, be sure that it has at least one LCSH subject heading (6XX B0), unless it is a work of fiction, poetry, or drama.

If a record meets all of the above criteria, export/put it, and make a print out of the record. Annotate the print out with the date and your initials, and insert it in the item. Insert a member workfile flag or LC workfile flag as appropriate.

If matching copy is not available for the same edition as the item in hand, related edition copy may be exported/put. Write "Related edition" on the top of the print out as this record will need to be edited to match the item in hand before the record is filed in Advance.

Be sure that the record selected for a given item reflects NYU "treatment" decisions as regards analysis and classing separately or together. When this is unclear or ambiguous, check for a series authority record in NAF and/or consult a supervisor.

Distribute items with print outs to the appropriate Member Copy/FastCat "Just Put Today" trucks opposite the Member/FastCat shelves with the following exceptions:

  • Multi-vols and analytics go on the appropriate shelves next to the Member Copy shelves
  • Items requiring call number checking/assignment go on the appropriate shelves (see Call Numbers section below for details)



  • CALL NUMBERS

    A record selected should have an LCC call number in the 050, 090, or RLIN holdings fields, with the following exceptions:

  • If an item is a work by/about an individual literary author and lacks a call number, then place it and the print out on the "Literary Materials" shelves to await call number assignment by a librarian/intern/sr. copy cataloger.
  • If a non-lit item has full-level copy, but lacks a call umber or has one only in the 055 field, then place it and the print out on the "Questionable Call Number/Subject Heading shelf.
  • If a lit item is classed by LC in PZ, then put it and the print out on the "Literary Materials" shelves for reclassing.

    Certain call number ranges in the PJ, PK, and PL ranges need to be checked against the Middle East Studies Librarian's list of established literary numbers; consult the document delineating these ranges. If the call number for the item in hand falls within the ranges prescribed in the document, give the item and the print out to the Middle East Studies Librarian.

    If the topic is music, or the call number is in M, the number needs to be assigned or verified by the Music Cataloger (currently Matthew Wise).
