Multi-format materials spine labeling

Multi-format materials consist of an item(s) in one format accompanied by an item(s) in another format, e.g., a book accompanied by a user's guide. These materials require special processing for labeling.

  1. Material Designation to Spine Label Conversion Chart

In most cases where multiple formats share the same call number, the material designation used to identify an individual item needs to be converted to an abbreviation in the call number for spine labeling purposes. Use the following chart to determine if and how a particular material designation should appear on a spine label.

** Use at the end of the call number (prior to the volume designation) to differentiate from a related work/edition.

  1. Physical Processing

Physical processing of all multi-format materials will be handled by the Senior Labeling Assistant (currently Robert McKanic). Cataloging staff should place all multi-format materials to be labeled on any of the shelves below the "NON-BMAIN LABELING ONLY" shelf (the top shelf used for the consortium, branch, etc. materials).

The Senior Labeling Assistant will produce and edit the label(s) as necessary. In most cases, this will involve the deletion of the number preceding the abbreviation, as in the following example:

Label before editing:
Label after editing:
PR PR
6003 6003
.E282 .E282
Z86 Z86

For those material designations that do not need a spine label abbreviation (1 book, 1 score, and 1 score + 1 (or more) part(s), both the numeral and abbreviation should be deleted from the label as follows:

Label after editing:
PR PR
6003 6003
.E282 .E282

The Senior Labeling Assistant will also change the status of these items from "Bobst-Labeling" (415) to "Not Checked Out" (0) before putting them on the "Status OK" truck for shelving in the stacks.
