Minimal level records in ADVANCE
Whenever materials come through for which there is no copy available in OCLC, they are interfiled in the Hold in order that they may receive processing via MARCADIA. If the items in question do not have an Acquisition record in the BMC (e.g., gifts, Near Eastern titles, orange- flagged materials), a minimal-level record must be created so that they will have an LCN for interfiling in the Hold and access in BobCat.
For new materials without cataloging copy in OCLC and without an acquisitions record, the following steps should be taken:
Search the title in RLIN to see if good cataloging copy exists there before proceeding. If good copy is available, PUT the copy and put the book on LC or member copy shelves. If no copy is available in OCLC or RLIN, the book will go to the Hold and a minimal level record will be created as follows:
In the BMC type "n" on the command line of the main search screen. In order to save keystrokes you may preset the default workform by doing the following:

Type "c" on the command line of the main search screen
Choose line number 1 and enter "bk"
Choose line number 2 and enter "bk"
File the changes0

This will permanently change your default so that the appropriate workform will display whenever you begin to create a "n"ew record.
Leader - Encoding level will be "5"
008 - Date and place of publication must be filled in

Item update -
"add item" - assign barcode and input appropriate circ.
code status should be "In Processing"
EXCEPTION: Sound recordings ordered through Acquisitions will have an acq record. Sound recordings not ordered through Acquisitions will not get a record until they are cataloged. No sound recordings should be placed in the Hold.
