HALF-FASTCAT AND MARCADIA “ACCEPTABLE MATCHES” – FULL-LEVEL RECORDS IN THE WORKFILE

Start with a title search in the AdvCat Client.
  • Click on File…New Search [<Ctrl><F3>] Type the title in the search box.
  • Make sure MAIN*BIBMAST is highlighted (this is the Main database or BMC).
  • Make sure Title is highlighted as your search type.
  • Click on scan [<Alt><c>] to send your search.

  • (If your AdvCat session has timed out, the login prompt appears and you must log in before the system can send your search.)

Highlight the matching title (if it’s not already highlighted) and hit <enter> or double click on the title to retrieve the record. In almost all cases, this will be the Acq ALL CAPS record or incomplete Acq record. The LCN appears in the 001 field after NYUb.

Click on the Edit button [<Alt><d>] display the ACQ bib record. Verify that the record matches the item in hand.

Now do a title search in the workfile to find the full record.

  • Click on File...New Search [<Ctrl><F3>] The title will still be in the search box and will not need to be retyped; remember to add an initial article for workfile searching if you didn't use it for the search in the main database.
  • Make sure MAIN*BIBWORK is highlighted (this is the Workfile).
  • Make sure Title is highlighted as your search type.
  • Click on scan [<Alt><c>] to send your search.

Highlight the matching title (if it’s not already highlighted) and hit <enter> to retrieve the record. Make sure the record is a full-level LC copy record.

  • If the record isn’t a full-level LC copy record, STOP! Close the search window, then close the window containing the ACQ record. Change the flag from FC to FS, and put the book on the further search truck.

Click on the Edit button [<Alt><d>] display the full workfile record. Verify that the record matches the item in hand.

You now have two records open on your screen. The workfile record should be in the top window and the ACQ record in the window behind it. Hint: The workfile record will contain (MAIN*BIBWORK.B.VENDOR) after the title on the title bar; the ACQ record will contain (MAIN*BIBMAST) after the title on the title bar.

Click on the title bar of the ACQ record. This makes it the active record and puts it on top. You are now ready to replace the “bad” ACQ record with the “good” workfile record.

Choose File...Replace Record. The Record replace dialog box opens, and the title bar for the "good" record is highlighted.

Click on OK. The Record replace dialog box closes and the ACQ record is now replaced with the workfile record. Notice that the full record now contains the LCN in the 001 and (MAIN*BIBMAST) appears after the title on the title bar.

Important tip! Replacing a record does not automatically remove the workfile record from your screen. You will still have two records on your screen. Close the workfile record by clicking on the X in the upper right hand corner of the workfile record window. Do not close the replaced record (the one with (MAIN*BIBMAST) after the title on the title bar).

Review the record for accuracy.

  • Refer to the FastCat checklist and verify the information in the bib record against the book in hand.
  • Make edits as necessary.
  • Write the call number on the t.p. verso.
  • Delete all 9XX fields.

Choose File...Save [<Ctrl><s>] to save the record. The Save record dialog box opens with "Update database" and "Update MAIN*BIBMAST" as the default options. Click on OK. The record updated message appears with the LCN number. Click on OK. The record window closes.

Now you are ready to edit holdings for the item.

Select Applications...AdvHoldings. Log on, if prompted to do so.

Choose BIB from AdvCat from the drop down menu to the immediate left of the Last button, then click on the Last button. The Item Summary screen appears for the record.

Verify the barcode listed to the piece in hand.

Click on the line containing the piece to be edited, if it isn't already highlighted. Click on Edit [<Alt><e>] to open the Item Detail screen

Tab to Current Locn line, then press <F2> to open the Current Location Data box. Enter the call number in the Classification and Cutter/Item lines. If applicable, add collection code, call number prefix, and/or call number suffix.

Click on Accept [<Alt><a>]. The Current Location Data box closes.

Tab to the Circ Code line and enter the appropriate code.

Click in the Status line. Change the “400” In processing code to either “415” Bobst Labelling or “430” Bobst Pre- bindery, as appropriate.

Click on Save [<Alt><s>] .

  • "Update owning info from current info?" Click on Yes or press enter
  • "Your changes have been saved." Click on OK or press enter
  • "This piece cannot be updated with the current status." Click on OK or press enter.
  • (This message occurs as a result of a system bug and can be ignored.)

Click on Cancel or press the <Esc> key to close the Item Detail screen.

Click on Home to clear the screen.
