The Further Search Workflow (Books with Acq Records)

Start with a title search in ADVANCE Holdings Client. Click on Search and enter title in Input1 box <enter>.

Highlight matching title (if it’s not already highlighted) and click on OK to retrieve the Items Summary screen.

Click on Bibliographic Edit from icons on the left side of the window to display the ACQ bib record.

Click on MARC Edit to edit the bib record. AdvCat opens. (If the bib record doesn’t automatically appear in the window, select File…Retrieve Last Holdings Bib Record.)

If the record isn’t a “good” record, Search AdvPac. [For AdvPac searching instructions, refer to AdvPac – Simple Searching of Bibliographic Utilities.]

If a good record is found, choose Action…Push to AdvCat.

Replace the ACQ record with the good record. Click on the title bar of the ACQ record to highlight it. This makes it the active record.

Choose File…Replace Record. The Record replace dialog box opens, and the title bar for the “good” record is highlighted.

Click on OK. The Record replace dialog box closes and the “good” record now contains the LCN in the 001.

Review record and make any necessary edits.

Shelf-list the call number in member copy by highlighting the call number, then choose File…New Search. The call number appears in the search box. Select LC call number as search type, and click on Scan. After the call number has been checked, click on Close to exit from the Search Local Database dialog box and return to the bib record. [NOTE: As an alternative, you may want to keep a telnet session open for call number searching.]

Choose File…Save to save the record. The Save record dialog box opens with “Update database” and “Update MAIN*BIBMAST” as the default options. Click on OK. The record updated message appears with the LCN number. Click on OK.

The AdvCat windows closes and the replaced “good” record now appears in the Bibliographic Edit portion of the Holdings record. Click on Items icon to return to the Item Summary screen.

Click on Edit to open the Item Detail screen.

Tab down to Current Locn, press <F2> to open the edit window.

Enter current location information, and click on Accept.

Tab to Circ Code and enter the appropriate code.

Click in the Status box and replace 400 with correct status.

Click on Save, answer “Y” to update owning location, and “OK” to save changes.

Click on Cancel to close the item detail box.
