Copy Cataloguing Command in ADVANCE

The "Copy Cataloguing" command in ADVANCE is used when your item is not in ADVANCE, but when you have located a record in ADVANCE for a related edition to the item you have in your hand.

When you use Copy Cataloguing, you are creating a new bibliographic record, so any fields pertaining only to the related item, e.g. LCCN (010) and ISBN (020), should be deleted.

  • Retrieve the related edition.

  • Choose Copy Cataloguing. ADVANCE will prompt: "Copy Cataloguing has been done--this is now a new record." Press Enter.

  • Pound out (#) the 010, 020 and 035 fields.

  • Add the 040 signifying that the "new" record has been cataloged (a) and input (c) by NYU. (Though derived from copy, it is a new edition and should be coded here as new copy.)

  • Add 040 a NNU
                   c NNU

  • Examine the item in hand. Modify any values in the record to match the characteristics of your item (publisher, publication date, edition statement, pagination, size, etc.). Complete the 008 based on the variable fields.

  • Delete any remaining "local" fields, such as 590, 950 and 955.

  • File the bib record into the main database (cataloging status "3") and go on to add your item.
