Closing Serials records in
ADVANCE 6.8


If the title has ceased publication:

  1. Change the status of copy set to inactive by changing line 2 in Serial Copy Set Detail to N.

  2. Go into RECU and search for the title

  3. When title is located, go into Order Update.

  4. In Order Update, select line 15. Type CLOSED. (Can also go to line 15 and type '??'; CLOSED is 3)

  5. Go to Notes. Select line 4. Type "ceased publication with (v. no. mo. yr) ex. ceased publication with v. 16 no. 4 (Apr. 2002). Accept

  6. File

  7. Fill out a bibliographic maintenance form stating exact enumeration and chronology of final issue, stating that the title has ceased with that particular issue. Provide documentation stating this if applicable (letter from publisher, vendor, OCLC record)





If the title has changed title:

A - Change the status of copy set to inactive by changing line 2 in Serial Copy Set Detail to N.

B - Fill out a new title form. Attach an OCLC record to form. Place form and issue in hand in the "out to cat" bin.

C - When the form is returned, check RECU for prior title and make sure that it is closed and that a note is added.

D - If the previous title is not closed and no note is added, follow steps C through F as above.
