Binding Entry Option In Advance
The Binding Entry option in ADVANCE provides for the linking of separate bibliographic
items having separate bibliographic records. This option is principally used for items which
have been bound together to form a single physical bound piece and for analytics.
For bound-together items ("bound withs"), each title will have a separate bibliographic
record. The item record attached to the first title in the volume will be the Master Holdings
Record and will include a regular numeric barcode. The other item records will have
negative barcodes and will be linked to the Master Holdings Record as indicated below.
The bibliographic records of all "bound with" titles should contain a 955 $s note, e.g., Bound
with: (then input the title of the first work). However, the 955 note for the first title should
read, Bound with: (then input all titles with which it is bound).
This linking of item records will also be used for analytic bibliographic items. Each title
being analyzed will have a separate bibliographic record and a separate item record. The
analytic record will be the Master Holdings Record. It will have the regular numeric barcode
and the parent set record will have the negative barcode.
When an item record linked to a Master Holdings Record is retrieved, ADVANCE will
identify the Master Holdings Record in the upper right-hand corner of the item screen, e.g.,
Bound with (Barcode). When cataloging two titles that are to have linked items, it is essential
to remember that the second title must share the call number of the first title. The barcode
will be attached to the item record of the first title, or to the analytic item, ONLY; the item
records of titles "bound with" the first title, or the host item (from the parent record), will
have negative barcodes.
Use the Binding Entry option as follows:
1. Retrieve the bib. record for the first title (or the analytic title), go to # ITEM, and retrieve
the item record that will be used as a Master Holdings Record.
2. Select "B" for Binding Entry.
3. At the prompt, enter the negative barcode of the item record which will be linked to the
Master Holdings Record. You may enter the number without a search string, but be sure to
use a capital "N."
4. File the binding entry. This will return you to the Master Holdings Record which will say
Bound Master Record in the upper right-hand corner.
5. If several titles are bound together, repeat this procedure for each one of them.
6. To "unlink" an item, retrieve the Master Holdings Record. Select "B" for Binding Entry.
Select "D" for Delete. At the prompt, input the negative barcode of the item you want to
unlink. Enter, and then File. The item will no longer be linked.
