BIBCO procedures (Bobst)

The default level for original cataloging at NYU will continue to be full-level for most materials, and all materials should be done to PCC standards if possible. In order for any record to be coded "pcc" in 042, all access points must have an authority record as appropriate, according to AACR2 and LC practice. For the moment, if an access point does not have an authority record and you have not been trained for NACO/SACO, consider the item ineligible for PCC coding.

Original-cataloging items for PCC coding:

  1. Complete the bib description and any related authority records. Put the item in "In Cataloguing" status.
  2. Print out the bib record. On the printout, indicate headings which have authority records (mark "naf" and a checkmark by names; mark "sh" and a checkmark by subject headings). If an authority record needs to be updated based on your book, indicate that you have, for example, "added 400 and 670" after the NAF-check which will mean that you have added a personal-name reference and a 670 for your book. Proceed with normal revision on the authority update. If the updating of an authority record is significantly complex, see the next step.
  3. Print out any new authority records (whether in save, produced, or on a worksheet). Also, print out complicated updates of authority records.
  4. Put the book with printouts on the BIBCO revision stack (in Sherman's office).
  5. After revision, the LCN will be sent to Susan Summer at Columbia for her final revision.
  6. The books may be sent on after the Bobst revision process is completed.
  7. BIBCO statistics will be kept after revision for sending each month to PCC. Individual catalogers should also indicate any BIBCO work on their weekly statistics sheet.

Copy-cataloging of items with PCC coding:

  1. Treat full-level records with 042 "pcc" as straightforward member copy. The call number may not be complete (only the class number is required by BIBCO standard) and it cannot be treated as Fast Cat or Half-Fast Cat.
  2. Analyze core-level records found in Further Searching or in the copy backlog. Core level can be identified by Encoding Level 4 in RLIN or ADVANCE. In OCLC, the ELvl will be blank but there will be 039 "core." All of these records should have 042 "pcc."
  3. If the core-level record looks complete (i.e. has a call number, has sufficient subject coverage, has appropriate added entries) relative to other copy cataloging you see, proceed as follows and as you would with other copy. If the copy looks ok but it lacks a call number or the subject headings are questionable, put on the shelves for the library school students or librarians (outside Alex Thurman's office). If the core-level record looks more like minimal copy, do not proceed; treat the book as if it did not have copy.
  4. If the copy looks as good as full, check to see if a 504 is needed and is present (many core records have "b" and "1" in 008 but no note about bibliography and index); add note if appropriate. Change Encoding Level to blank. Delete 042 "pcc".

Maintenance of existing records with PCC coding:

Generally speaking, the record may remain "pcc" in field 042 when being maintained, including the addition of added copies or volumes. If any access points are added, they should have authority records. If they do not have authority records or you are unsure they do, delete the "pcc" in 042.
