Cataloging training scripts for ADVANCE 6.8

Jump to multi-part  holdings.

SINGLE-PART HOLDINGS

Adding the First Piece

  1. Go to the Holdings module [Holdings edit]
  2. Select the General Holdings type [Single-part]
  3. Go to the Pieces Summary screen [Pieces display]
  4. Add a Pieces record [Add item]
  5. Enter the Barcode on line 1.
  6. From line 2. (Current Location), open the editing window [C]
  7. Enter the Institution, Sublocation, Collection, Call number prefix, Call number, Call number suffix, and Copy number
  8. Enter the Circ. code on line 5.
  9. [File]
  10. Update owning info.? Y
Adding Additional Pieces
  1. Go to the Holdings module [Holdings edit]
  2. Go to the Pieces Summary screen [Pieces display] Add a Pieces record [Add item]
  3. Enter the Barcode on line 1.
  4. From line 2. (Current Location), open the editing window [C]
  5. Edit the Current Location subfields
  6. Edit the Circ. code on line 5.
  7. [File]
  8. Update owning info.? Y
Updating "In Processing" Pieces
  1. Go to the Holdings module [Holdings edit]
  2. Go to the Pieces Summary screen [Pieces display]
  3. Select the "In Processing" Piece [# item]
  4. From line 2. (Current Location), open the editing window [C]
  5. Edit the Current Location subfields
  6. Edit the Circ. code on line 5.
  7. Change the Status [Status]
  8. New item status code? 0
  9. File this status? Y
  10. Status code to delete? *
  11. [File]
  12. Update owning info.? Y
Moving Pieces to New Locations
  1. Go to the Holdings module [Holdings edit]
  2. Go to the Pieces Summary screen [Pieces display]
  3. Select the Piece you wish to move [# item]
  4. From line 2. (Current Location), open the editing window [C]
  5. Change the Current Location subfields
  6. Change the Circ. code on line 5.
  7. [File]
  8. Update owning info.? Y, unless this is a temporary relocation
Moving Pieces to Other Bibliographic Records
  1. Go to the Holdings module [Holdings edit]
  2. Go to the Pieces Summary screen [Pieces display]
  3. Select the Piece(s) to be moved [Move #(s)]
  4. New Bibliographic record or new Location? B
  5. Move it / them? Y
  6. Search for new Bibliographic record
  7. [Retrieve]
Deleting Pieces
  1. Go to the Holdings module [Holdings edit]
  2. Go to the Pieces Summary screen [Pieces display]
  3. Select the Piece(s) to be deleted [Delete item(s)]
  4. [Exit]
  5. Delete it / them? Y
Changing the General Holdings Type (Single-Part to Multi-Part)
  1. Go to the Holdings module [Holdings edit]
  2. Go to the Pieces Summary screen [Pieces display]
  3. Select the new General Holdings type [Multipart/Serial]
  4. You already have pieces. Okay to continue? Y
  5. Holdings will be converted. Okay to continue? Y
  6. Go to the Type of Holding Summary screen [Go to] [Type of holdings display]
  7. Select the Type of Holding record [# item]
  8. Describe the Type of Holding on line 1., e.g.: Volumes (or Indexes or Supplements)
  9. [File]
  10. Go to the Publication Pattern Summary screen [Go to] [Publication pattern]
  11. Select the Publication Pattern record [# item]
  12. Enter the Volume caption(s) on line 1., e.g.: v. pt. (unit)
  13. Enter a blank space on line 7. (Regularity Pattern)
  14. If there is the possibility that any of the levels may be lacking on some Volumes, go to the [Second screen] and type 3 in line 6. (Caption Evaluation) and [Accept]
  15. [File]
  16. Predict issues? N
  17. Compress? Y for single-level, consecutive volumes
    N for multi-level or non-consecutive volumes
  18. Retain old record? N
  19. Go to the Parts Summary screen [Go to] [Parts display]
  20. Select the Part record [# item]
  21. Enter the numbering for the Part on line 3., e.g.: v. : 1 pt. : a
  22. [File]
MULTI-PART MONOGRAPHIC HOLDINGS

Adding the First Volume
  1. Go to the Holdings module [Holdings edit]
  2. Select the General Holdings type [Multipart/serial]
  3. Establish the Publication Pattern [Pub. pattern display]
  4. Add a Publication Pattern record [Add item]
  5. Add the Type of Holding to the Publication Pattern record [Add item]
  6. Describe the Type of Holding on line 1., e.g.: Volumes (or Indexes or Supplements)
  7. Return to the Publication Pattern record [File]
  8. Enter the Volume caption(s) on line 1., e.g.: v. pt. (unit)
  9. Enter a blank space on line 7. (Regularity Pattern)
  10. If there is the possibility that any of the levels may be lacking on some Volumes, go to the [Second screen] and type 3 in line 6. (Caption Evaluation) and [Accept]

  22. From line 1., choose the Type of Holding record [??] [Retrieve #]
  23. Enter numbering for the Part on line 3., e.g.: v. : 1 pt. : a
  24. [File]
  25. Verify the link to the Part [Accept]
  26. Complete the Pieces record, e.g. Circ. code, Public note, etc.
  27. [File]
  28. Update owning info.? Y
Adding Additional Volumes to the Same Location Copy
  1. Go to the Holdings module [Holdings edit]
  2. Go to the Pieces Summary screen [Pieces display]
  3. Add a Pieces record [Add item]
  4. Enter the Barcode on line 1.
  5. From line 4. (Volume/Part #), open a linking window [??]
  6. Link to the established Publication Pattern [Link]
  7. Establish the Part enumeration [Insert at line #]
  8. Enter numbering for the Part on line 3.
  9. [File]
  10. Verify the link to the Part [Accept]
  11. Complete the Pieces record, e.g. Circ. code, Public note, etc.
  12. [File]
  13. Update owning info.? Y
Adding the First Volume to New Location Copies
  1. Go to the Holdings module [Holdings edit]
  2. Go to the Pieces Summary screen [Pieces display]
  3. Add a Pieces record [Add item]
  4. Enter the Barcode on line 1.
  5. From line 2. (Current Location), go to the Location Copy Summary screen [??]
  6. Add the new Location [Add item]
  7. Complete the Location record
  8. [File]
  9. From line 4. (Volume/Part #), open a linking window [??]
  10. Link to the established Part [Link]
  11. Choose the Part enumeration [# item]
  12. Verify the link to the Part [Accept]
  13. Complete the Pieces record, e.g. Circ. code, Public note, etc.
  14. [File]
  15. Update owning info.? Y
Updating "In Processing" Volumes
  1. Go to the Holdings module [Holdings edit]
  2. Go to the Pieces Summary screen [Pieces display]
  3. Select the "In Processing" Volume [# item]
  4. From line 2. (Current Location), open the editing window [C]
  5. Edit the Current Location subfields
  6. Edit the Circ code on line 7.
  7. Change the Status [Status]
  8. New item status code? 0
  9. File this status? Y
  10. Status code to delete? *
  11. [File]
Moving Errant Volumes to their Correct Locations
  1. Go to the Holdings module [Holdings edit]
  2. Go to the Location Copy Summary screen [Locations display]
  3. Select the Location from which the errant Volumes are to be moved [# item]
  4. Go to the Pieces / Parts Summary screen [Pieces / Parts]
  5. Select the Volumes to be moved [Move #(s)]
  6. New Bibliographic record or new Location? L
  7. Move it / them? Y
  8. Choose the new Location (old Location is marked **) [Retrieve #]
Changing the Sequence of Volumes
  1. Go to the Holdings module [Holdings edit]
  2. Go to the Type of Holdings Summary screen [Type of holdings display]
  3. Select the Type of Holdings record [# item]
  4. Go to the Parts Summary screen [Parts]
  5. Ask to sequence the Volumes [Sequence parts]
  6. Select the Volume(s) to be moved [# line(s) to move]
  7. Select the line above which the Volume(s) should be positioned [Drop at line #]
Deleting Volumes and Locations
  1. Go to the Holdings module [Holdings edit]
  2. Go to the Pieces Summary screen [Pieces display]
  3. Select the Volume(s) to be deleted [Delete item(s)]
  4. [Exit]
  5. Delete it / them? Y
  6. Delete receipt information for unlinked parts? N
  7. Go to the Location Copy Summary screen [Go to] [Locations display]
  8. Select the Location(s) to be deleted [Delete item(s)]
  9. [Exit]
  10. Delete it / them? Y
