  EVENT PLANNING AND KimmelOneStop INSTRUCTIONS

To use Kimmel Center a student organization must be registered with the Office of Student Activities (OSA) and only OSA registered club officers may request for KimmelOneStop account. Kimmel Operations will issue only one online account per OSA registered club (club’s email address (OSA alias) will be used for log in) and only OSA registered club members are authorized to use the online account.


  1.0 CREATE KimmelOneStop ACCOUNT

1.1 Go to KimmelOneStop

1.2 Go to ‘Create An Account’ under the NYU Clubs section.

1.3 Fill out all six fields. Please contact your OSA Advisor if you do not know your club's OSA ALIAS. NOTE: enter a generic password that could later be passed on to other club members.

1.4 Click on ‘Save’. That’s it. Your request for log in capability will be processed by Kimmel Operations.


  2.0 LOG ON TO KimmelOneStop AND REQUEST FOR SPACE

2.1 Log on to KimmelOneStop and go to ‘Reservations’ and ‘Club Room Request’.

2.2 You are then cued to fill in appropriate information: ‘Date’ you want to book the space for, ‘Time frame’, ‘Attendance’ and ‘Setup Type’. You may also use the ‘Recurrence’ option for multiple recurring events.

2.3 Click on ‘Find Space’

2.4 A grid of all the rooms will appear (a list will appear if ‘Recurrence’ is used). The grey colored space is already booked. You must choose anything that is in the white area. The blue line with red borders represents the time interval that you have defined in your search criteria.

2.5 When you have chosen your room, click on the green cross to the left of the room number. That room, along with the date(s) and time(s) of your booking, will appear as a line(s) on the top of the page in case the room is available for the requested time.

2.6 Before submitting reservation click on ‘Details’ tab. Choose your name from the drop down box for ‘1st contact’ or enter the required information for a temporary contact (must be an OSA registered club member). Define ‘Media Services’ and ‘Setup Items’ leaving specific comments and instructions.

2.7 Click on ‘Submit Reservation’. You’re done. You will receive an automated email stating that we have received your request. That email is NOT A CONFIRMATION. The confirmation will be emailed once your request is processed.


  3.0 EVENT PLANNING

3.1 Review Kimmel Center Policies.

3.2 Budget for each event’s audio visual needs, including technical staff required for Eisner & Lubin and Rosenthal Pavilion, as well as catering and tickets.

3.3 Catering is provided by Top of the Square Catering that has a special club menu for student organizations. All events held in the Rosenthal Pavilion must use catering from Top of the Square Catering.

3.4 Tickets are required for events in Eisner & Lubin and Rosenthal Pavilion. The Ticket Form is due 3 weeks before the event date to Ticket Central Box Office in Kimmel 206.

3.5 Your Club Adviser must be involved in all programming of events and must approve:

3.5.1. Club Program Form that is due 30 days before a major event and 10 days before other events,

3.5.2. Budgets,

3.5.3. Contracts.

3.6 Kimmel Center space usage guidelines for NYU Clubs/Student Organizations:

3.6.1. Maximum 2 events in major spaces per semester (Eisner & Lubin Auditorium and Rosenthal Pavilion),

3.6.2. Maximum 4 events in large spaces per semester (914, 802, 900S, 800S, 400S),

3.6.3. Maximum 1 weekly meeting space
