Cisco Unity Connection Voice Mail

Please note, ITS is currently in the process of migrating NYU community members to a new voice mail system. These instructions refer to the newer voice mail system, Cisco Unity Connection. If you have been switched over to Cisco Unity Connection, you should have received an e-mail from ITS. For instructions on how to use the older voice mail system, please see the Staff Voice Mail Services page.

The Cisco Unity Connection voice mail system can be accessed from any on or off-campus phone. The voice mail system allows you to set up your own password and record your name and personal greeting. You may delete, store, or forward any message you receive.

Initial Voice Mail Setup

You will be asked to initialize your mailbox the first time you login. To do so:

  1. If your phone has one, press the Messages button. Otherwise, dial 54901 (1-212-995-4901 from off campus).
  2. When prompted for your ID, enter your extension, followed by #.
  3. When prompted for the PIN, enter the default password: 134679. This password will remain in effect until you have completed the initialization process and your mailbox is ready for use.
  4. Pre-recorded prompts will guide you to:
    • Record your name
    • Record a personal greeting
    • Select a PIN (password)

Accessing Your Voice Mail

You can access your voice mail from any phone within or outside the University by following these instructions. Please note, the most recent message in your Unity voice mailbox will play first.

From your office phone:

  1. If your phone has one, press the Messages button. Otherwise, dial 54901. When prompted for your ID, enter your extension, followed by #.
  2. When prompted for your PIN, enter your password, followed by #.

From another NYU office phone:

  1. Dial 54901.
  2. When prompted for your ID, enter your extension, followed by #.
  3. When prompted for your PIN, enter your password, followed by #.

From off campus:

  1. Dial 1-212-995-4901.
  2. When prompted for your ID, enter your extension followed by #.
  3. When prompted for your PIN, enter your password followed by #.

Setting a New Password

To set a new password:

  1. Log into your mailbox.
  2. Press 4-3-1.
  3. Enter your new password.
  4. Confirm your new password by entering it again.
  5. Press #.

When setting a new password, it:

  • Must be at least six digits in length.
  • Cannot start with "0."
  • Cannot include your 5-digit NYU extension.
  • Cannot be ascending or descending (e.g., "012345" or "987654").
  • Cannot spell out your name.
  • Cannot contain groups of repeated digits (e.g., "408408").
  • Cannot repeat a digit more than two times consecutively (e.g., "288831").
  • Cannot use only two different digits (e.g., "121212").
  • Cannot repeat any of the last four passwords you have used.

System Lockout

If you lock yourself out of your Unity voice mailbox, it will unlock in 20 minutes.

Recording the Name the System Uses to Identify You

  1. Log into your mailbox.
  2. Press 4-3-2.
  3. At the tone, say your name.
  4. Press #.

Changing Your Greeting

  1. Log into your mailbox.
  2. Press 4 for Setup Options.
  3. Press 1 to change Greetings.
  4. Select an option:
    • Press 1 to re-record the Active Greeting.
    • Press 2 to activate the Alternate Greeting.
    • Press 3 to edit other Greetings.
    • Press 4 to hear all of your Greetings.

Recording and Activating an Alternate Greeting

If you are going to be out of the office for any reason, you can record an alternate greeting. The alternate greeting lets callers know that you are out of the office and can offer them other options for assistance until you return, such as someone else's extension or e-mail address. You can set the alternate greeting to expire on a certain date and time, and it will automatically revert to your standard greeting. You also have the option to switch back to the standard greeting manually.

To record an alternate greeting:

  1. Log into your mailbox.
  2. Press 4 for Setup Options.
  3. Press 1 to change Greetings.
  4. Press 3 to edit other Greetings.
  5. Press 3 to change your Alternate Greeting.

Sending a Message

You can only send a message to another person on the Cisco Unity Connection system.

  1. Log into your mailbox.
  2. Press 2 to send a message.
  3. Record your message at the tone, then press #.
  4. Enter the extension, followed by #.
  5. Press # again to send the message.
  6. A recording will play to confirm that your message has been sent.

Deleting Messages

Voice mail messages are saved in the system even after you delete them. If you accidentally delete a voice mail, you can go into your deleted messages to retrieve it. Note, messages in your Deleted mailbox are permanently deleted after one day.

To retrieve a deleted message:

  1. Log into your mailbox.
  2. Press 3 to review old messages.
  3. Press 2 to review deleted.
  4. After listening to the deleted message, press 2 to restore as Saved or press 6 to restore as new.

Forwarding a Message

You can only forward a message to another person on the Cisco Unity Connection system.

  1. After listening to a message, press 5.
  2. Enter the extension you wish to forward the message to.
  3. Press #.
  4. Press # again to accept the extension.
  5. Record an introduction, or press # to forward the message without an introduction.
  6. A recording will play to confirm your message has been sent.

Using Private Lists to Communicate with Your Staff

Cisco Unity Connection allows you to create Private Lists, which can be used to send recorded messages. When you address a voice message to one of your Private Lists, all recipients on the list receive the message. Only you can send voice messages to your Private Lists. You can have up to 25 Private Lists, each with up to 99 members.

Creating your list

To create your Private List using your phone:

  1. Log into your mailbox.
  2. Press 4 for Setup Options.
  3. Press 2 for Message Settings.
  4. Press 4 for Private Lists.
  5. Press 2 to change the names.
  6. Enter the number of an unused list.
  7. Press 1 to add a new name.
  8. Enter the extension of the person you would like to add, then press #.
  9. Press # to add the recipient.
  10. When finished adding names, press *.
  11. Press 3 to re-record the name of the list.
  12. Follow the prompts to record and approve a name for the list.

Creating your message

To create a message to be sent through your Private List:

  1. Log into your mailbox.
  2. Press 2 to send a message.
  3. Record your message at the tone, then press #.
  4. Enter the Private List number, then press #.
  5. Press # to confirm your selection.
  6. Press # to send your message, or select another message option (see below).

Message options

  • Press 9-1 to add names
  • Press 1 to mark the message urgent
  • Press 2 to request a return receipt
  • Press 3 to mark a message private and secure
  • Press 4 to set a future delivery
  • Press 5 to review your recording
  • Press 6 to re-record the message
  • Press 7 to add to the message
  • Press 9-2 to hear all names and delete names
  • Press 9-5 to send a copy to yourself
