Using Meeting Maker 8.6
Who is eligible for Meeting Maker use?
NYU faculty and staff members with an activated NYUHome account can apply
for a Meeting Maker account. Students are not eligible for Meeting
Maker accounts. However, departmental administrators may sponsor a
student who is a part-time NYU employee for such an account, if the
student will require Meeting Maker in the course of fulfilling his
or her NYU employment responsibilities. Meeting Maker accounts are
offered at no charge to the individual.
How do I request a new account?
You can apply for a Meeting Maker account by sending an email to: meetingmaker.request@nyu.edu.
Be sure to include your NetID and full name in the body of the email.
What ID and password should I use when logging in to Meeting Maker?
You will need to use your NYU NetID and NYUHome password
to log into Meeting Maker. Non-users accounts such as meeting rooms,
resources, or generic accounts will still
have their own separate login and password.
What if I forget my Meeting Maker password?
Your Meeting Maker password is the same as
your NYUHome password. If you have forgotten your NYUHome password and thus
cannot access Meeting Maker, you will need to reset your password by
going to the NYUHome Start page: http://start.nyu.edu.
Does Meeting Maker integrate with my email?
Yes, you can choose to have Meeting Maker send you an email with new
meeting information and reminders. You can email meeting invitations
to non-Meeting Maker guests via iCalendar. You can also use Meeting
Maker’s email function to send meeting guests additional information,
such as planning documents, spreadsheets, or anything you find useful
to share before, during, or after a meeting.
Where is my Contact List?
The Meeting Maker Contact List is called the Address Book.
It can be found in the Window menu.
Can I print my Address Book?
You can select the Address Book entries you want to print and click the Print button.
If you wish to print the entire list, select all entries and click the Print button
in the Address Book window.
How can I access my calendar when I'm on the road or at home?
You will be able to access Meeting Maker using the web client available via the Work
tab in NYUHome on the Meeting Maker channel.
Can I invite people to a meeting who aren't on my Meeting Maker network?
Yes, provided you add these people, along with their email addresses,
to your Meeting Maker Address Book. They will receive an iCalendar
attachment, which they can drag and drop into their own calendar.
Meetings show up on my calendar with "Accept" and "Decline" on them.
Why?
With the "Penciled In" feature, you can simply click Accept on your calendar. If you wish to turn this feature off, go to the Preferences menu, and in the Notification tab,
deselect “Pencil In to calendar.”
Where is the Master Schedule List in Meeting Maker 8.6?
The Master Schedule List has been replaced by the View Group option
in Meeting Maker 8.6. In the Group view, click Edit List to
add any group or individual you wish to view.
Where are my proxies located in Meeting Maker 8.6?
Proxies will not show up in the Proxy menu until you add them to your
Favorite Proxies. Click on Proxy, then Edit Favorite Proxies.
All your available proxies are listed on the left, and you can add
them to your favorites on the right.

I have an NYU-issued handheld - what if I need help synchronizing?
ITS provides software licenses and phone and email support for synchronization with Palm Treo, Blackberry and Wireless Windows Mobile devices. Please address any questions to
meetingmaker.help@nyu.edu.
My model isn't listed above, but I've synchronized
before with Meeting Maker. Will I still be able to sync?
If you have a traditional Palm or a Palm Treo without Internet connectivity, you will be able to download the Meeting Maker Palm Conduits for 8.6 from the Meeting Maker channel.
I have an NYU-issued PDA and I want to sync it with Meeting
Maker, but never have. How do I get started?
First, a NotifyLink account must be created. Please note there is a one-time fee of $75. Instructions for syncing can be found on the
PDA Syncing Page.
I have a PDA that was not issued to me by NYU, but I would still like to sync it with Meeting Maker. What are my options?
- NotifyLink Wireless Sync - If you have a mobile PDA such as a Palm Treo or Blackberry, you may obtain a NotifyLink software license from ITS. A one-time $75 fee will be charged to your department. Please send the request to meetingmaker.request@nyu.edu.
- Palm Conduits - If you have a traditional wired Palm or a Palm Treo, you can download the Meeting Maker Palm Conduits for 8.6 from the Meeting Maker channel at no additional cost. Note: The Palm Conduits will only provide wired syncing with Meeting Maker.
Which PDA devices are supported by Meeting Maker 8.6?
PDAs can sync with Meeting Maker in one of two ways, depending on the
type of PDA.
- Wireless Sync: ITS offers a wireless synchronization service for NYU-issued handheld devices, using the NotifyLink software. At this time, ITS is able to provide software licenses and phone and email support for synchronization with Palm Treo, Windows Mobile, and Blackberry devices. Until testing is complete, synchronization for Windows Mobile devices will not be available. Additional questions about Windows Mobile devices synchronization can be addressed to meetingmaker.help@nyu.edu.
- Wired Sync: Palm-based PDAs without Internet connectivity can sync to Meeting Maker 8.6 via Palm Conduits. The Meeting Maker 8.6 Palm Conduits will be available for download from the Meeting Maker channel within the NYUHome Work tab.
What is NotifyLink?
Notify Technology's NotifyLink software provides wireless email, calendar,
and contact synchronization for Meeting Maker. NotifyLink replaces
Intellisync for Meeting Maker and Meeting Maker Mobile.
How do I get NotifyLink?
You apply for a NotifyLink software license by completing the NotifyLink
Request Form. Please note there is a one-time fee of $75.
How do I configure NotifyLink on my PDA?
Instructions are available in the Meeting Maker channel in NYUHome or at http://www.nyu.edu/its/meetings/pda/.
Why is the battery on my handheld running out faster than normal after I setup wireless syncing?
When you setup wireless syncing with NotifyLink, you are also setting up another email client on the PDA. If you currently use an email client such as Snappermail or Blackberry Internet Service, having another email client on the device will require more power consumption. We recommend that you only have one active email client on the device. If you wish to turn off the NotifyLink email client, do the following:
- Sign in to https://notifylink.nyu.edu.
- Click on the Folders button in the Mailbox Properties tab.
- Under Available Folders, uncheck the box labeled Inbox.
- Click Apply Changes and then Logout.

Where can I get additional training in using Meeting Maker for myself
or my staff?
Twice-weekly "webinars" provide a hands-on introduction to Meeting Maker 8.6. To sign up for an hour-long, hands-on online training session:
- Go to: http://peoplecube.webex.com/
- In the list of sessions, click the Meeting Maker 8.6 Basics link.
- Click the Register button.
- Pick a session date, then enter the required information.
- Click the Register button to submit your information.
When your registration has been processed, PeopleCube will send you a confirmation email providing further instructions on joining and participating in the webinar. Please note that these sessions are conference call/web presentations led by a PeopleCube staff member, not ITS.
I have a question that isn't answered in the Meeting Maker documentation.
