Configure Outlook Express (PC) for NYU Email

NYUHome has a web-based mail client built into it. However, if you prefer, you can use the Outlook Express email client to access your NYU email. To do so, follow the configuration instructions below.

Please note that ITS strongly recommends the use of the IMAP mail protocol. With IMAP, you can keep all of your mail on the server, in folders. That way, even if you use Outlook Express at home, Outlook at the office, and the web client while on the road, you will always have all of your mail folders available to you!

Configure Outlook Express for Windows

  1. From the main Outlook Express window, go to the Tools menu and select Accounts.

  2. You will then see the Internet Accounts screen.
  3. Click on the Mail tab and select Add.
  4. Then, click on Mail.

  5. Type your name in the Display name field as you would like it to appear in the From field when sending email and click Next.

  6. Select the radio button for I already have an email address that I'd like to use.
  7. Enter your NYUHome email address, in the form aqe123@nyu.edu where aqe123 is your NetID.
  8. Click on Next.

  9. In the E-Mail Server Names window click on the drop down arrow and change the incoming mail server type from POP3 to IMAP.
  10. Enter mail.nyu.edu as the Incoming mail (POP3, IMAP or HTTP) server.
  11. Enter smtp.nyu.edu as the Outgoing mail (SMTP) server.
  12. Click Next.
  13. Enter your NetID in the Account name window of the Internet Mail Logon screen. If you do not choose to save your password, just leave it blank and you will be prompted for it when checking mail.
  14. Click Next.

  15. Click on Finish at the Congratulations screen to accept the settings you have entered.

  16. Go to the Tools menu and select Accounts. From the Mail tab, choose your NYU account and click Properties. Click the Servers tab; change the Outgoing mail server (SMTP) field to smtp.nyu.edu and check the box next to My outgoing server requires authentication. Click the Settings button next to that checkbox, and confirm that Use the same settings as my incoming server is selected. Click OK to close that window.


    Click the Advanced tab. Underneath Incoming Server (IMAP) check the box next to This server requires an encrypted connection (SSL). The box next to Incoming Server (IMAP) should automatically change to 993. Check the box under Outgoing Mail (SMTP) that reads This server requires a secure connection (SSL), and change the port number in the box above from 25 (the default) to 465.


    You may have to quit and restart Outlook Express for these settings to take effect.
  17. Click Close to return to the main Outlook Express window.
  18. You will then be asked if you would like to download folders from the mail server you added. Click on Yes.

  19. The NYUHome IMAP server will be contacted and you will be prompted to enter your User Name, which is your NetID, and your Password. Click on OK.
  20. The Show/Hide IMAP Folders dialog box will open. Click OK to download the NYUHome IMAP folders to your local PC.
  21. Your NYUHome account should now appear in the Folders list in the main Outlook Express Mail window, along with your Inbox, Trash, Sent Items and any other folders you have created.

Delete Email

  1. If you wish to permanently remove messages you have deleted in Outlook Express from the NYUHome IMAP server when you quit out of the Outlook Express program, put a checkmark in the box next to the option for Empty messages from the 'Deleted Items' folder on exit. This options "cleans up" deleted messages at the end of your session.
  2. The other option to Purge deleted messages when leaving IMAP folders allows you to mark messages as deleted in an active IMAP folder. When you leave the active folder to go to another folder, messages in the active folder will be deleted. This option "cleans up" deleted messages as you go.

    Note: If you do not select any deletion options, mail will be left on the main NYUHome mail server until you log into your NYUHome account to delete it directly. If you do not delete mail, you may risk going over your mail quota. When you go over quota, you cannot receive any new mail.

  3. To change any of your settings, select Accounts from the Tools menu. In the Internet Accounts window, click on Properties.
  4. Your name and email address should now appear in the General properties tab page.
  5. Check the box next to Include this account when receiving mail or synchronizing.
  6. If you have changed your NYUHome password, and you save the password in Outlook Express, select the Servers tab, and input the new password.
  7. If you wish, Outlook Express allows you to specify the method by which you will always connect to this account.
  8. Click on the Connection tab. Check Always connect to this account using: and select the appropriate option from the drop-down list.
  9. Click OK.

  10. You are now ready to send and receive IMAP messages with NYUHome using Outlook Express.

Create Local Folders

You can copy your mail from the IMAP server on to your local machine into folders you create within your Outlook Express mail program.

  1. Open Outlook Express.
  2. In the left-hand Folders frame, you will see Local Folders listed. Click on the plus (+) sign to expand the contents.
  3. To create a new folder, from the File menu, select New and then choose Folder. You'll be prompted to name the folder and select in which main folder your new subfolder will reside. Make sure to select Local Folders as the container for this sub-folder.

    You should then see your new folder show up under the Local Folders icon in the left-hand Folders frame.

  4. To log into the IMAP server, from the Tools menu, select Send and Receive and then choose Receive All to collect your mail.
  5. Once you see the mail you wish to access, from the Edit menu, choose Select All.
  6. From the File menu, choose Folder, then choose Move. A window will open saying Move the item(s) to the selected folder. You can then choose to which local folder you wish to move the mail.
  7. If you want to reduce the size of your Inbox on the mail server, you can now delete the messages you've just copied. Or, you can leave them there and delete them later.

The messages you copied into your local folders are now accessible without having to log in to the mail server.
