Review/Search Requests

Review Past Requests

AP Workflow allows you to search for previously approved/rejected and currently pending requests in various ways: by request number or query information from within AP Workflow, or from the Workflow channel in the Administrative Services portal. Within AP Workflow, you can also search for all requests that list you as the payee.

Search All My Requests

1. In the AP Workflow Main Menu at left, click Inquiry/Search
2. At the top of the page, click the radio button next to Search All My Requests
3. Click Search. A summary page of your requests will display

Search by Request Number

1. In the AP Workflow Main Menu at left, click Inquiry/Search.
2. Click the radio button next to Search Using Request Number.
3. In the gray text box labeled Request Number, enter the number of the request for which you wish to search (this number is included in any notification emails you may have received regarding the request and is also displayed under the barcode on your request when you originally submitted it).
4. Click Search. A summary page of your requests will display. To display the details of a request in the list, click the underlined Req #.

Search by Query Information

If you do not know the request number, or if you want to search for multiple requests based on a set of criteria (request date or payee, for example) you can perform a Query search.

1. In the AP Workflow Main Menu at left, click Inquiry/Search.
2. Click the radio button next to Search Using the Query Option.
3. Select the appropriate criteria for your search. For example, to perform a search for requests made between certain dates, enter the dates in the text boxes labeled Requested Between.
4. When finished, click the Search button at the bottom of the screen. A list of requests matching your criteria will be displayed. To display the details of a request in the list, click the underlined Req #.

Search Within Your Worklist History

You can search for AP Workflow requests directly from the Worklist History within the Workflow channel on the Administrative Services portal. While this does not allow you to search based on specific criteria such as request number, payee, request date, and so on, it can be a quick way to see both pending and processed requests with which you have been directly involved, either as an Approver or Initiator. To sort the entries in your Worklist History, click any of the column headers.
