Org Chart

Key Personnel

The Key Personnel component is associated with the Org Chart and only appears in the Org Chart Template. The component identifies a key person from the unit displayed and allows the person to provide an image and contact information.  Clicking the component leads a user to the person’s Bio.

When to use it?

The Key Personnel component should be used to add information about the members of your Unit.

Where to use it?

The Key Personnel component may only be used in the Org Chart pages. It may only be added to the right-hand side column.

How to use it?

1. From the Site Admin console's left-hand Navigation pane, navigate from the top of the NYU content tree by clicking on the plus signs (+) next to the various pages until you find your Unit's Organizational Chart page.

2. Double-click to open your Unit's Org Chart page. Add the Key Personnel component to the right-hand side column.

3. The component placeholder contains a default "person" icon.  Double-click on the icon and an edit window will open allowing you to enter information about the key person.

4. In the General tab, enter in the following information:

  • For Full Name, enter in the full name of the Key Person.  This field is required.
  • For Title, enter in the Key Person's University title.  This field is required.
  • For Phone Number, enter in the Key Person's University phone number.  This field is not required. If the individual does not wish to have their phone number published, add in the Unit's main phone number.
  • For Email Address, enter in the Key Person's email address. This field is not required. If the individual does not wish to have their personal email address published, add in the Unit's departmental alias address.  If your unit does not have a departmental alias, you may request one by writing to: aliases@nyu.edu

5. In the Image tab, if you have an appropriate headshot for the Key Person, drag and edit it in the Image tab. This is not required. If you do not add in an image, a default image will be displayed.

6. When finished, press the OK button to save the text to see it within the page.

7. Click the magnifying glass icon in the Sidekick to open the page in Preview mode to ensure that all additions are as expected from the end-user's perspective.

Double-click on the component to open the Key Personnel Component edit window. In the General tab, type in the appropriate information for the individual.

In the Image tab, if you have an appropriate headshot for the Key Person, drag and edit it in the Image tab. This is not required. If you do not add in an image, a default image will display.

Bio

The Bio component is directly associated with the Key Personnel and Org Chart components. This component will serve to create/reference biographical data concerning specific Key Personnel. It is possible to have Key Personnel that do not have associated Bios, but Bios cannot exist without an associated entry in Key Personnel.

 

 

Where to use?

The Bio component can only be used within the Org Chart.

When to use?

Use the Bio component to create biographical information for key personnel.

How to use it?

  1. From the Site Admin console's left-hand Navigation pane, navigate from the top of the NYU content tree by clicking on the plus signs next to the various pages until you find your Unit's Organizational Chart page within the Administrative Units section. To get to this section, navigate down from: NYU -> English -> About NYU -> Administrative Units
  2. Click the plus sign to expand your Unit's section. You will see two child pages listed:  
    1. redirect
    2. Bios
  3. Single-click on the Bios page icon to select and highlight it.
  4. In the right-hand Site Admin Details pane, click the New... menu (by selecting the arrow next to the word New...), and select New Page. The Create Page window will open.
  5. In the Title field, type the name of the individual whose biography page you are creating.
  6. In the Name field, leave the option blank.
  7. Select the Biography Page template.
  8. Click the Create button.
  9. You will be returned to the Site Admin console. The new page will now be displayed as a child page of the Bios parent page.
  10. To add content to the new Biography page, double-click the new page in the right-hand Details pane.  The page will open for editing.

Edit a Bio Page

  1. From the Site Admin console's left-hand Navigation pane, double-click to open your new Bio page.
  2. At the top of page, there is a component (almost hidden) that resides above the dotted line around the "Drag components or assets here" area.  You will need to put your mouse over the section to see the blue component outline, then double-click to open the component.
  3. The component dialog window opens. In the General tab, enter in the following information:
    1. For Full Name, enter in the full name of the Key Person. This field is required.
    2. For Title, enter in the Key Person's University title. This field is required.
    3. For Phone Number, enter in the Key Person's University phone number. This field is not required. If the individual does not wish to have their phone number published, add in the Unit's main phone number.
    4. For Email Address, enter in the Key Person's email address. This field is not required. If the individual does not wish to have their personal email address published, add in the Unit's departmental alias address. If your unit does not have a departmental alias, you may request one by writing to: aliases@nyu.edu
  4. In the Image tab, if you have an appropriate head shot for the Key Person, drag and edit it in the Image tab. This is not required. If you do not add in an image, no image will be displayed.
  5. When finished, press the OK button to save the information.
  6. You may then add any additional components to fill the 3-column space. For example, add a Text component for the individual's biography information. Add in a Photo Gallery to highlight various related event images.
  7. Click the magnifying glass icon in the Sidekick to open the page in Preview mode to ensure that all additions are as expected from the end-user's perspective.
  8. If you are ready to publish the page, from the Sidekick, select the Page Properties tab. Click the Activate Page button to activate the page.
  9. To ensure that the Biography page does not appear in your main navigation bar, you will want to hide the page from navigation.  Please see our instructions for: Hiding a Page in the Navigation Bar.

Link a Bio Page to Key Personnel

  1. Return to the Site Admin console by clicking the globe icon at the bottom of the Sidekick.
  2. Navigate back to your Unit's Organizational Chart page within the Administrative Units section.  You will want to select your Unit's parent page in the left-hand Navigation pane.
  3. In the right-hand Details pane, double-click to open your Unit's Org Chart page. Follow the instructions to add a Key Personnel component to your Org Chart page.
  4. In the General tab of the Key Personnel component, make sure to keep the information consistent with the information you added to the individual's Bio page. For the Bio Path option, click the drop-down arrow. The Select Path window will open allowing you to navigate through the site hierarchy to find the Bio page you just created. Select the page and click the OK button.
  5. Click the magnifying glass icon in the Sidekick to open the page in Preview mode to ensure that all additions are as expected from the end-user's perspective.

Org Chart Sub Page

The Org Chart Sub Page component allows authors to insert additional pages under their administrative unit's organizational chart to detail information concerning office functionality.

When to use it?

The Org Chart Sub Page component should be used to add additional pages under your unit's main Org Chart page, instead of Content pages.

Where to use it?

The Org Chart Sub Page component may only be used as a child page of the Org Chart page.

How to use it?

  1. From the Site Admin console's left-hand Navigation pane, navigate from the top of the NYU content tree by clicking on the plus signs next to the various pages until you get to the Administrative Units page.  Expand the section by clicking on the plus signs until you find your Unit's Organizational Chart page.
  2. Expand your Unit's Org Chart section. You'll see a page labeled: redirect
  3. Highlight the redirect page.
  4. In the right-hand Site Admin Details pane, click the New... menu (by selecting the arrow next to the word "New..."), and select New Page. The Create Page window will open.
  5. In the Title field, select a 2 to 3 word title (max 4 words) that will be displayed in the published page's browser title, main page title and page navigation.
  6. In the Name field, either leave the option blank (which will use the base 2-4 word Title as default separated by dashes ), or select a short and intuitive name (using no more than 3 words found in the Title) to be used to create the page's URL. Separate each word with a dash.
  7. Select the Sub Organization Chart template.
  8. Click the Create button.

You will be returned to the author environment. The new Sub Org Chart page will now be displayed in both the Navigation pane and listed in the Details pane.
