Adding Content to the DAM

Before digital content (e.g. images, PDFs, videos, etc.) may be used in a page, it must be added to the DAM (Digital Asset Manager).  Content approvers and Content authors may both load content into the DAM, but only Content approvers may activate the uploaded assets. The content must be activated before it may be used.

To upload content to the DAM, do the following:

1. In the Authoring Environment, click the "Digital Assets" button (the "camera" icon) next to the Site Admin (globe) icon. You'll now be placed into the DAM Admin environment.
2. On the left-hand side, you'll see the familiar "tree" navigation.  Digital assets are organized by administrative unit and housed within folders. Click through the tree to find your unit's folder.
3. Click inside your unit's folder to find the appropriate sub-folder. For example, if you are uploading images, select the images sub-folder.  If you are uploading a PDF document, select the documents sub-folder. 
4. In the menu above the right-hand side Details window, click the New button. Choose "New File..." to upload your content. 
5. Click the Browse button to find the content on your local machine.
6. Click the OK button to add the content to the DAM.
7. Refresh the asset list to ensure that the new item has been added.
8. If you are a Content approver, highlight the new item in the asset list and click the Activate button to activate the item. 
   
   Note: Your content cannot be used until you activate it.

When you return to Edit mode, you will now see a thumbnail of the new asset in the left-hand side DAM Asset Finder.

Hyperlinking to Assets in the DAM

After content has been uploaded to the DAM, you can make a hyperlink to downloadable files.  

1. In a Rich Text component enter a descriptive name and the file type, such as "Editorial Style Guide (pdf)"
2. Highlight the text you want hyperlink and click the hyperlink button located in the formatting toolbar of the Rich Text editor
3. Drag and Drop the content file from the DAM Asset Finder to the Link to field in the hyperlink dialog box.
4. Select the appropriate file and click OK

Editing Asset Properties

After uploading content to the DAM, you can edit and add asset properties in the Asset Editor window. Adding properties like metadata and tags will increase the searchability of an asset in the DAM finder.

1. Double-click an asset in the DAM or right-click it and select Open to access the Asset Editor.
2. In the Asset Editor you can access a variety of asset information.
1. Download the asset: in the left side column, you can download the asset to your computer by clicking the Download hyperlink and following the prompts.
2. Add tagging: in the middle column, click the tags field drop down menu to reveal all available tags. Select the appropriate tags.
3. Edit metadata: in the middle column, edit the various fields to add metadata about the asset. 
4. Create and restore versions: in the right column, click on the Versions tab. To create a version, click Create and fill out the pop up form. To retore a version, select a version and click Restore.
5. View sub-assets: in the right column, click the Sub Assets tab to view any sub-assets available.
6. View all renditions: in the right column, click the Renditions tab to view all renditions. Renditions are automatically generated alternate sizes and crops of uploaded images.
7. View reference information: in the right column, click the Reference tab to view what pages pages the asset appears on.
3. When you are done editing in the Asset Manager, click Save and close by clicking the x in the Asset Editor tab.
